Have you got an Exec Agreement?

As the cliché goes: New Year, New Local Party Execs!

It’s great to have new people come in and take an active role in your local party exec – but does everybody know what’s expected of them? This may be codified in your constitution, but for many local parties it isn’t. Having clearly defined roles and expectations up front can make a big difference – both to how effective you and your team are over the coming year, and also in avoiding any confusion or difficult conversations later on.

At Liberal Democrat Expand we’ve adopted a new Exec Agreement, and drafted a version that we think Local Parties might benefit from.

The Liberal Democrat Expand Exec Agreement

Exec Members of Liberal Democrat Expand are responsible for the strategic direction and day to day running of the organisation. Within this, there are four defined roles: Director, President, Secretary, and Treasurer.

All Exec Members agree to the below commitments:

  1. Attendance of meetings at least once a month – or written submissions relating to Agenda in advance
  2. Regular written pieces – the exec shall agree a content rota, with content produced within agreed times
  3. Regular communication via email – responding to notes, queries and agendas
  4. Supporting the organization personally – sharing stories across their social media
  5. A constructive and cooperative attitude – exec members agree to treat their colleagues and others with respect. Where things need improving, this shall be raised in a constructive and not hostile way.

Failure to comply with this agreement over the period of a quarter (excluding election hiatus) will result in the termination of exec membership.”

Draft Local Party Exec Agreement

Exec Members of ________  are responsible for the strategic direction and day to day running of the organisation. Within this, there are ____ defined roles: ______, _______, ______, ______, etc.

All Exec Members agree to the below commitments:

  1. Attendance of meetings at least once a month – or written submissions relating to Agenda in advance
  2. Regular written pieces – the exec shall agree a content rota, with content produced within agreed times
  3. Regular communication via email – responding to notes, queries and agendas
  4. Supporting the organization personally – sharing stories across their social media
  5. A constructive and cooperative attitude – exec members agree to treat their colleagues and others with respect. Where things need improving, this shall be raised in a constructive and not hostile way. Exec members should treat all members of the local party with respect
  6. Exec members shall keep the contents of meetings in confidence
  7. Exec Members are expected to contribute X hours per month, split between Exec Meetings and Work, and Campaigning hours
  8. Exec Members with specified roles shall be responsible for producing Annual Reports relating to their role, for presentation to the AGM, in accordance with the local patty constitution
  9. Exec Members have a responsibility to comply with and uphold the local party constitution

 Failure to comply with this agreement over the period of a quarter (excluding election hiatus) will result in the termination of exec membership, following a vote of remaining Exec members.”
